Fleet Track primarily stores and processes customer data within New Zealand.
Certain third-party service providers used by Fleet Track may process limited personal information outside New Zealand where necessary to provide specific services. Where this occurs, we take reasonable steps to ensure that appropriate safeguards are in place and that personal information receives protection comparable to that required under New Zealand privacy law.
The Fleet Track AI Assistant is an optional feature and is disabled by default. Customer tracking, telematics, and fleet data is not made available to AI processing services unless the AI Assistant has been enabled and used by an authorised user.
Where the AI Assistant is enabled, information necessary to answer your questions may be processed by third-party AI service providers in accordance with Section 12 (AI Assistant).
Our services are not intended for individuals under the age of 16. We do not knowingly collect personal information from children.
We will retain your personal information only for as long as necessary to fulfil the purposes for which it was collected, or for any longer retention period required by law.
We are not responsible for the practices employed by any websites or services linked to or from our website, including the information or content contained within them. Your usage and browsing on any such website is subject to that website’s own policies, including that third party’s privacy policy. We encourage you to investigate and ask questions before disclosing personal information to third parties, since any personal information disclosed to those third parties may be collected, processed, and shared for a variety of different purposes that differ from this policy.
The Fleet Track Portal may include an optional AI Assistant that helps users interact with and understand information contained within their Fleet Track account.
What the AI Assistant Can Access
The AI Assistant has read-only access to data associated with your Fleet Track account that is required to answer your questions. Depending on the features available within your account, this may include vehicle information, trip history, location data, alerts, telematics information, maintenance records, and other data visible within the Fleet Track Portal.
The AI Assistant cannot modify vehicles, users, settings, tracking data, or any other account information.
What We Store
Questions submitted to the AI Assistant and the responses it generates are stored for up to 12 months. We retain this information to provide support, investigate issues, improve service quality, maintain security, and ensure the ongoing operation of the AI Assistant.
If you delete a conversation from your chat history, it will no longer be visible within the portal. However, the underlying record may be retained for the remainder of the applicable retention period and then deleted automatically.
How AI Requests Are Processed
Questions submitted to the AI Assistant are processed using third-party artificial intelligence services. Data submitted to the AI Assistant is processed using AI services that do not use customer data to train public AI models.
AI requests may be processed in data centres located outside New Zealand. Any such processing is subject to the safeguards described in Section 8 (International Data Transfers).
Support Tickets Created Through the AI Assistant
Where the AI Assistant provides the ability to create a support ticket, you will be shown the information that will be submitted before the ticket is created.
Support tickets generated through the AI Assistant may include your name, email address, account details, a summary of the issue, and the relevant conversation transcript. Such information will be handled in accordance with this Privacy Policy and our normal support processes.
Who Can Access AI Conversations
Authorised Fleet Track personnel may access stored AI Assistant conversations where reasonably necessary for support, troubleshooting, security investigations, service improvement, legal compliance, or the operation of the service.
Access to stored conversations is restricted, monitored, and limited to authorised personnel only.
Your Choices
Use of the AI Assistant is optional. Where consent is required, the AI Assistant will only be activated after you have accepted the applicable consent notice.
The AI Assistant is disabled by default. Fleet Track tracking and telematics data is not shared with AI processing services unless the AI Assistant has been enabled and a user actively submits a request to the assistant.
If you choose not to use the AI Assistant, no AI conversation data will be collected or stored.
